Services
The following services are required of the contractor:
- Administration
- Maintenance and monitoring of membership and registration databases to track
NWTSBD’s membership and that of member clubs; - Management of administrative queries received from NWTSBD members, club
associates, and members of the public through phone calls, emails and letters; - Coordination of monthly 1-hour meetings of NWTSBD: meeting setup and
logistics, communications, reporting on meeting outcomes; - Coordination of logistics for attendance of NWTSBD representatives at national
governing body meetings and attendance at such meetings where required by
the board; - Oversight of contractors, coaches, officials, and volunteers: administrative
oversight of the recruitment process for coaches and managers for NWTSBD
teams at multi-sport Games, administration of logistics related to coaches,
officials and volunteers where required; - Perform functions on behalf of NWTSBD board executive as needed when
executive members are unavailable (e.g. secretary can’t attend a meeting to take
notes).
- Maintenance and monitoring of membership and registration databases to track
- Website and social media
- Basic website and social media maintenance and engagement including the posting of news articles, results, schedule changes and event information on a regular basis.
- Policy updates
- Ensuring policies are up-to-date as deemed necessary by NWTSBD, including but not limited to: By-laws, Constitution, Executive limitations, Travel, Coach selection, Official selection, Athlete selection, Venue selection, Emergency medical plan, and Concussion.
- Funding acquisition, management, and reporting
- The preparation of application forms and supporting documents to apply for funding from federal, territorial, municipal or private bodies;
- The preparation and submission of reporting on successful funding applications;
- The development and implementation of annual budget; and
- Engagement of prospective sponsors, where engagement is defined as such meetings and presentations as are necessary to either establish a partnership or otherwise conclude negotiations with an interested third party.
- Events and clinics
- Administrative coordination of:
- NWTSBD’s annual general meeting (AGM);
- NWTSBD’s annual Territorial Championship;
- NWTSBD’s presence at the Arctic Winter Game; and
- Athlete and coach clinics/training camps (typically 2-3 per year).
- Administrative coordination of:
Coordination refers to support for logistics (travel and accommodation booking);
identification and booking of contractors, coaches, and vendors where needed to deliver
events and clinics; administrative oversight of coaches, volunteers, and officials, and
design and implementation of communications and publicity plans.
Compensation and Time
$20,000 per year (12 months) for the provision of the services identified, with payments issued monthly.
Given snowboarding is a winter sport, the contract will have higher activity in the fall and winter, with much less to do in the spring and summer. Generally, the work can be completed in a few
hours a week. However, there are periods of intense activity associated with coordinating clinics and events that will require more time. This is balanced with periods when there is very little activity at all.
We are looking for a two-year commitment to the role, commencing on October 1, 2026 and terminating on September 30, 2028.
